Overview MAJOR RESPONSIBILITIES Under the direction of the Regional Partner, the Regional Administrative Assistant performs administrative and office support activities for the Regional Partner and regional support team members. Duties may include fielding telephone calls, receiving and directing visitors, word processing, creating spreadsheets and presentations, and filing. Extensive software skills, Internet research abilities and strong communication skills are required. Specific duties may vary depending on the needs of the region. ESSENTIAL FUNCTIONS: To perform this job successfully, an individual must be able to perform each essential function satisfactorily with or without accommodation. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential job functions. - Manage multiple calendars; prioritize and plan work activities using time efficiently. - Gather and evaluate information as well as proofread, compose, and prepare correspondence, reports, presentations and other complex documents for department. - Process and monitor budget and expense accounts for the department including P-card approvals and reconciliation. - Assist in the preparation of monthly budget reports for department. - Draft, review, and screen incoming communication inclusive of correspondence, emails, and phone calls. - Assist with planning and coordinating meetings, multiple presentations and department events. - Arrange for travel inclusive of complex and detailed travel plans and itineraries; compile documents for travel-related meetings. - Create and manage departmental project calendars. - Other duties as assigned by management. REQUIRED: - Associate's Degree in Business or related field. In lieu of degree, 3+ years of relevant work experience. - A minimum of 3 years of experience in a professional environment with project management or administrative experience. - Knowledge of office practices, technology applications, and reporting systems; business correspondence and business reporting techniques; and business principles. DESIRABLE: - Medical and/or Dental Experience. KNOWLEDGE/SKILLS/ABILITIES/TALENTS: - Knowledge of office practices, technology applications, and reporting systems; business correspondence and business reporting techniques; and business principles. - Demonstration of superior communication skills with professionalism and a customer-service orientation. Speaks clearly and persuasively, edits work for spelling and grammar, presents numerical data effectively and is able to read and interpret written information. - Ability to respond to common inquiries from employees, vendors, or other members of the business community. - Self-motivated, reliable individual capable of working independently as well as part of a team. - Organized, detail-oriented individual able to work in a fast-paced environment and ability to prioritize a wide range of tasks and projects with limited direction. - Ability to multi-task effectively without compromising the quality of the work. - Excellent interpersonal, oral and written communication skills. - Extensive knowledge of MS Word, Excel, Powerpoint, Access, software applications, and use of standard office equipment (e.g., telephones, copiers, scanners, facsimiles, calculators). - Ability to respond to common inquiries from customers, staff, regulatory agencies, vendors, and other members of the business community. - Ability to draw valid conclusions; apply sound judgment in making decisions, and make decisions under pressure. - Ability to handle and maintain extreme confidentially with employee records. - Maintain an appropriate professional appearance and demeanor in accordance with Company policies. WORK ENVIRONMENT: The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. - This is primarily a sedentary office classification but requires occasional field visits and driving. Temperature conditions are controlled with no direct exposure to hazardous physical substances. The noise level in the work environment is usually low to moderate. - While performing the duties of this job, the employee is regularly required to sit, stand, walk, use the keyboard; use hands to finger, handle, or feel; reach with hands and arms; see, talk and hear. The employee will frequently lift and/or carry reports, records and other materials that typically weigh less than 20 pounds. The employee is occasionally required to stoop, kneel, bend, or crouch. - Finger dexterity is needed to access, enter, and retrieve data using a computer keyboard, calculator, and other standard office equipment.
