Job Description:

We are looking for an Associate Policy Resident Coordinator for the Quality Management Department at St. Joseph Hospital Orange.

Location: Orange, CA

Work Schedule: Full Time - 80 Biweekly Hours

Shift: 8-hour, Days

Job Summary:

This position will be responsible for coordinating, facilitating and distributing Administrative, Human Resource and Clinical hospital policies and procedures. Provides leadership, facilitation and consultation necessary for the development, review, revision and archiving of policies and procedures and supporting documents for the organization and ensures that policies and procedures are processed through the appropriate channels for consultation, review and approval. In addition this position will be responsible for collaborating with Medical Program Residency Coordinators for placement of medical students, PA Students, Residents and fellows at St. Joseph Hospital and managing the medical observer program.

Essential Functions:

  • Develops and maintains data base for tracking Administrative, Human Resources and Clinical policies and procedures. Establishes and facilitates policy review process 6 months prior to review date.
  • Provides ongoing leadership in the development, maintenance, evaluation and sustainability of the policy & procedure database by performing regular audits of the policy system to ensure optimal utilization.
  • Monthly distributes new, reviewed or revised policies by updating hospital intranet and distribution of summary report to Management Team and distributes paper updates quarterly.
  • In collaboration with committee chairs supports Clinical and Hospital policy and procedure meetings by scheduling meetings, preparing agendas, completing meeting minutes and preparing policies for review and distribution to committee members prior to the meeting. Develops policy summary reports to Nursing Leadership Team and Pharmacy & Therapeutics Committee. Completes all follow up for policy & procedure verification of edits/changes prior to final policy distribution.
  • Acts as an expert to staff throughout the organization regarding policy and procedure management by coaching and educating staff on utilization and development.
  • Collaborates with Medical Residency Program Coordinators to ensure timely and accurate communication of Medical Students, PA Students, Residents, and Fellows who are on site, supervising physician's, Medical Staff Office privileges and Meditech access, and any safety of quality or care issues that may rise.
  • Maintains clinical affiliation training agreements between hospital and the academic facility. Develops and maintains Medical Student, PA Student, and Resident orientation.
  • Provides leadership and maintains process for approved Medical Observer program.


  • Ability to work independently and in a collaborative team environment, which consists of diverse populations of staff, administrative personnel, physicians, residents, nurses and others.
  • Excellent verbal and written communication skills, as well as interpersonal skills required.
  • Excellent language, sentence structure, spelling, grammar and punctuation skills and ability to edit documents created.
  • Proficient in Microsoft applications specifically Word, Excel and Outlook.
  • Ability to learn the organization policy and resident process.
  • Ability to manage multiple priorities and deal with multiple individuals.
  • Strong document management skills.
  • Knowledge of medical terminology.
  • Ability to adapt quickly to changes in work environment and assignments.

Minimum Position Requirements:

Education: Associate's Degree in Office Administration or related relevant degree, or 3 years experience demonstrating knowledge and skills that would be obtained in an Associate's degree

Experience: 1 year Professional administrative experience.

Preferred Position Qualifications:


  • Bachelor's Degree in related healthcare field.
  • Coursework/Training - Education in policy and procedure management.
  • Coursework/Training - Education in coordinating health-related student rotation programs. Or equivalent educ/experience


  • Experience in a graduate medical program or academic setting.
  • Clinical knowledge or background.
